Office Manager - Frankfurt - Motork

As a result of this growth, we are now looking for a talented Office Manager to join our Office Management team, based in our Frankfurt office.


The role

The Office Manager role will cover a wide range of different tasks, as it liases and cooperates daily with various departments within the company. The Office Manager will be responsible for:

  • Provide high-level executive business and persona administrative support
  • Manage complex and shifting calendars, arrange for meetings, appointments, and travel
  • Coordinate and assist with special projects as needed, including research, documentation, reporting, presentations, and analysis
  • Pre-read and review administrative documents, including signature and approval requests
  • Prepare contracts with customers
  • Handle confidential information and communications tactfully, with efficiency and attention to details
  • Collaborate in the planning and organisation of company internal events or even meetings at the office
  • Partner with cross functional teams to plan and execute meetings and offsites
  • Prepare accounting on an almost daily basis
  • Dunning Run (open items management)
  • General Office management

Requirements

Our ideal Office Manager will have previous experience within corporate administrative roles and working within a fast paced environment. As well as:

  • Fluent English and native German
  • Knowledge of MS Office (in particular Excel, Power Point..), familiarity with G Suite
  • Experience multitasking with the ability to handle changing priorities in a fast-paced entrepreneurial environment
  • Ability to handle highly sensitive and confidential material
  • Exceptional planning and organisational skills
  • Experience dealing with different internal stakeholders and external parts
  • Positive relationship management skills and the ability to effectively collaborate with a diverse set of partners


Working pattern and location

  • Monday to Friday, 40 hours a week
  • Permanent role
  • Hybrid (3 days in the office, 2 days from home)
  • Frankfurt
