As a result of this growth, we are now looking for a talented Office Manager Intern to join our Office Management team, based in our Milan office.
The role
The Office Manager role will cover a wide range of different tasks, as it liases and cooperates daily with various departments within the company. The Office Manager will be responsible for:
- Handling and sorting incoming calls
- Welcoming and guiding guests and candidates
- Sorting company mail and coordinating all incoming and outgoing post
- Managing meeting rooms, supporting the coordination and execution of various events
- Building and maintaining relationships with suppliers (requesting quotations, liaising with them for all company’s needs), ordering office supplies and stationeries
- Creating ad hoc reporting
- Supervising all activities in relation to facilities management (periodical maintenance work, Health & Safety, coordination of all office spaces)
- Managing company’s car fleet
- Collaborating with the Office Management team in other countries (France, Germany, Spain)
- Supporting the HR team with onboarding activities (management of IT assets, meal voucher cards etc..)
Requirements
Our ideal Office Manager will have a keen interest in joining an international, dynamic team environment and improving their administrative skills. As well as:
- Fluent English and native Italian (knowledge of additional languages is considered a plus!)
- Familiarity with G Suite package
- Excellent problem solving skills
- Ability to handle highly sensitive and confidential material
- Ability to work within a team environment and to liaise with people at all levels
- Outstanding communications skills and proactivity
Working pattern and location
- Monday to Friday, 40 hours a week
- Internship
- On site (Milan)
